Positions Up for Election
Webmaster:
Roles and Responsibilities Include:
The webmaster, elected biennially, shall be responsible for
- Maintaining the council website; (ie, council documents are posted such
as: newsletters, journals, awards brochure, special publications);
- Attending and reporting to all executive committee meetings;
3.11.3 attending the ATA specialist council seminar for Presidents, Editors,
Webmasters and Treasurers (PEWTS);
- Posting and removal, in a timely fashion, of current information on
provincial PD opportunities;
- providing support to conference committee on maintaining the
conference website;
- Provide domain name registration contact information and hosting site
contact information with expiry dates to president at September meeting;
- Submit personal technology charges bi-annually to council (November
and May);
- All pertinent password information and website information to be
shared/provided to the president;
- Send council members information on upcoming regional or provincial
PD, annual conference, or award information through email list.
- Respond in a timely fashion to inquiries submitted through the council
website.
Communications Officer
Roles and Responsibilities Include:
The Communication officer shall be responsible for
- Editing the content and arranging for the regular publication of the Monthly Tips or Tricks
- Responsible for acquiring content (ie, strategies, articles, book reviews, etc)
(a) gather president message
(b) newsletter format: sent online to members
- Maintaining liaison with the specialist council publications staff at Barnett
House
- Publishing information on the annual conference for the information of
members;
- Attending the ATA specialist council seminar seminar for Presidents,
Editors, Webmasters and Treasurers (PEWTS);
- Distributing nomination forms for executive positions in the spring or
summer publication prior to the AGM; and
- Publishing specific administrative information at the direction of the table
officers.
Treasurer
Roles and Responsibilities Include:
The duties of the treasurer shall include
- Having charge of all Council funds, both collection and disbursement as
authorized by the executive committee;
- With the assistance of the ATA bookkeeping services, maintain an
accurate record of the financial affairs of the Council for both grant and
regional/provincial accounts;
- With the assistance of the ATA bookkeeping services, provide a financial
report for each table officer and executive committee meeting;
- Presenting an audited financial statement to the Annual General Meeting; with assistance from the budget committee, preparing for the first
executive committee meeting of the year a budget for all Council
activities;
- Upon receipt of expense account slips, reimbursing executive members for
expenses incurred while working on authorized Council activities;
- Making other necessary disbursement of the funds of the Council with the
approval of the executive;
- Liaising with the ATA to facilitate the administration of membership fees,
subscriptions and the Council’s grant account, submission of required
financial reports;
- Recovering financial statements and available records of regional councils
that have been declared inactive;
- Transferring the approved Special Projects Grant to regionals and receiving
a financial statement after the function;
- Maintaining current list of locations of regional accounts and names and
addresses of co-signers;
- Receiving, recording and reporting on membership fees;
- Chairing budget committee;
- Being responsible for ensuring that goods and services tax and other
regulatory requirements are met;
- Reporting of honorarium to the Association on November of each year;
- Attending the ATA specialist council seminar for Presidents, Editors,
Webmasters and Treasurers (PEWTS);
- Ensuring that regional treasurers are aware of proper accounting
procedures and that financial statements are submitted prior to June 15;
- Overseeing the financial reporting requirement for the conference by
liaising with the council treasurer; and
- Being one of the signing officers of the Council.
​Journal
Roles and Responsibilities Include:
The newsletter editor shall be responsible for
- Editing the content and arranging for the regular publication of the journal;
- Maintaining liaison with the specialist council publications staff at Barnett
House regarding content, layout and printing schedules and
- Publishing specific administrative information at the direction of the table
officers.
- Attending the ATA specialist council seminar for Presidents, Editors,
Webmasters and Treasurers (PEWTS);
- Attending and reporting to all executive committee meetings; and
- Attaining articles/research articles/book reviews and obtaining peer
reviewers for articles prior to publication
